1. Who we are

Vente AI Ltd ("Vente", "we", "us" or "our") provides lead intelligence, recruitment and workflow software, including business-contact data, hiring intelligence, Career Site Scraping, Pipelines, integrations and AI-assisted tools (the Services).

Vente AI Ltd is the controller of personal data where we decide why and how it is processed. This includes data in our business-contact and enrichment database and data relating to customers, prospective customers and website visitors.

When a customer uploads CVs, candidate records or other personal data for us to process only on its instructions, the customer is the controller and Vente acts as its processor. The customer's privacy notice applies to that processing.

2. Personal data we process

Depending on how you interact with Vente, we may process:

Business and professional data: name, business email address, business telephone number, professional profile, employer, job title, seniority, location, work history and associated company information.

Hiring data: public vacancies, recruitment activity, hiring patterns and related business signals.

Account and customer data: contact details, login and account information, subscription, billing status, preferences, support requests and communications.

Usage and technical data: IP address, browser, device, approximate location, product activity, searches, logs, errors and security information.

Integration data: account identifiers, access tokens and data selected by a customer for use with a CRM or other integration, including contacts, companies, activities, status changes and follow-up tasks.

Source and data-quality information: where a record came from, when it was collected or checked, and its verification or suppression status.

AI inputs and outputs: information submitted to an AI-assisted feature, the resulting output and relevant technical information.

Payment-card details are normally processed directly by our payment provider. Vente may receive limited information such as the card type, last four digits and payment status, but does not intend to store full card numbers or security codes.

Customers may upload CVs and candidate information. These documents can contain sensitive information that Vente does not request. Customers are responsible for ensuring that they are authorised to provide this information and that their use of the Services complies with data-protection law.

3. Where personal data comes from

We obtain personal data:

directly from individuals and customer users;

from customers using the Services;

from public sources, including company websites, career sites, professional profiles and job advertisements;

from authorised third-party data, enrichment and verification providers;

from customer-authorised CRMs and other integrations;

through use of our website and Services; and

by organising, matching or deriving information from these sources.

Career Site Scraping monitors customer-selected career sites and may create leads from relevant public vacancies or hiring activity. Customers can replace monitored sites during their subscription.

4. How and why we use personal data

We process personal data to:

provide and support the Services;

create and manage customer accounts and subscriptions;

build, verify, maintain and improve our business-contact and hiring-intelligence database;

provide and license relevant business-contact and hiring intelligence to business customers;

monitor customer-selected career sites and create relevant leads;

operate Pipelines and customer-authorised integrations;

provide AI-assisted extraction, matching, enrichment, summarisation and insights;

secure the Services and prevent fraud or misuse;

manage billing, records, communications and legal claims;

send service messages and, where permitted, business marketing; and

comply with legal obligations.

Under UK data-protection law, we rely on:

Contract, where processing is necessary to provide Services requested by an individual or fulfil a contract with them.

Legitimate interests, including operating and improving our Services, providing relevant business and recruitment intelligence, enabling lawful business development, securing our systems and protecting our rights. We consider whether these interests are overridden by individuals' rights and expectations.

Legal obligation, where processing is required by law.

Consent, where consent is required, including for certain cookies or marketing activities. Consent can be withdrawn at any time.

You may object to processing based on legitimate interests. If you object to direct marketing, we will stop using your personal data for that purpose.

5. Business-contact and enrichment database

Vente is an independent controller of its business-contact and enrichment database. We collect, organise, verify, enrich and license business contact and hiring information obtained from public and authorised third-party sources.

Business customers may use relevant records for business-development, recruitment and related professional purposes, subject to our terms and applicable law. Customers are responsible for ensuring that their communications and other use of the data are lawful.

You may object to inclusion in our database or ask us to correct, delete or suppress your information by emailing [email protected]. We may retain the minimum information necessary on a suppression list to ensure that your request continues to be honoured.

6. AI-assisted features

Some Services use artificial intelligence or machine learning to extract, structure, match, summarise, enrich or generate insights from information. Depending on the feature, this may include information from vacancies, business-contact records, CVs, integrations or customer inputs.

We may use specialist technology providers to support these features. AI output can be inaccurate or incomplete and should be reviewed by the customer. Our Services are intended to support human decisions, not make decisions about individuals that have legal or similarly significant effects without meaningful human involvement.

7. Who we share personal data with

We may share personal data with:

customers authorised to access business-contact and hiring intelligence;

hosting, security, communications, payment, support, analytics, AI, data-enrichment and verification providers;

CRM and other integration providers selected by the customer;

professional advisers, regulators, courts and law-enforcement bodies; and

parties involved in a proposed or completed investment, financing, acquisition or sale of our business.

Service providers may process personal data only for authorised purposes and subject to appropriate contractual and security obligations. A current list of subprocessors used for customer data is available from [email protected].

8. International transfers

Some service providers may process personal data outside the United Kingdom. Where required, we use an approved safeguard, such as UK adequacy regulations, the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses.

9. Retention

We retain personal data only for as long as reasonably necessary for the purposes described in this notice, taking account of accuracy, relevance, legal obligations, contractual requirements and limitation periods.

In particular:

business-contact and hiring data is retained while it remains relevant and reasonably accurate, subject to our review, correction, deletion and suppression processes;

customer and transaction records are retained during the relationship and afterwards where required for tax, accounting or legal purposes;

CVs and candidate data processed for a customer are retained in accordance with that customer's instructions and agreement with Vente;

integration data is retained while needed to operate the integration or complete an authorised workflow; and

minimal suppression information may be retained for as long as necessary to honour an objection.

When information is no longer required, we delete, anonymise or securely isolate it until deletion is possible.

10. Security

We use appropriate technical and organisational measures designed to protect personal data. These may include access controls, encryption, logging, supplier review, backups and incident-response procedures. No system can be guaranteed to be completely secure.

11. Cookies

We use cookies and similar technologies that are necessary to operate and secure our website and Services. With consent where required, we may also use analytics, functionality and advertising technologies.

You can manage non-essential cookies through the cookie settings on our website.

12. Third-party API data

Where the Services connect to a third-party API, we use information received through that API in accordance with the provider's applicable user-data and limited-use requirements.

Data received through a customer-authorised workspace or productivity integration is used only to provide or improve the user-facing integration and workflow functions requested by the user. We do not sell this integration data, use it for advertising or use it to build our independent lead database.

13. Your rights

Depending on applicable law, you may have the right to:

access your personal data;

correct inaccurate or incomplete data;

request deletion or restriction;

object to processing based on legitimate interests or for direct marketing;

receive certain data in a portable format; and

withdraw consent where processing is based on consent.

To exercise a right, object to inclusion in Vente's database or request suppression, email [email protected]. We may request proportionate information to verify your identity. Rights are not absolute, and we will explain if a lawful exception applies.

If Vente processes your data only on behalf of a customer, we may direct the request to that customer or assist it in responding.

You may complain to the UK Information Commissioner's Office at ico.org.uk.

14. Children

The Services are intended for business users aged 18 or over. We do not knowingly offer the Services to children or intentionally include children in our business-contact database.

15. Changes and contact

We may update this notice to reflect changes in our Services, practices or legal obligations. We will publish the revised notice with an updated effective date and provide additional notice where required.
